Graduation Publicity & Privacy
Graduation ceremonies are public celebrations of our students’ success. As part of this, some personal data will be shared or published.
At a glance:
- Names and awards of all graduates (including those graduating in absentia) are published in the programme and may appear in the press.
- Photos and video may be taken by UHI Orkney staff for publicity and social media.
- Details are explained in the Graduation Privacy Notice linked below.
- If you do not want your data (name, award, or image) published, you must let us know by the deadline stated in your invitation.

Our Graduation Privacy Notice explains how your personal data is processed before, during, and after the event. It also provides guidance if you do not wish your information to be used in this way. This applies to all students who are invited to graduate or who may be eligible for an award, whether or not you attend the ceremony. Please take time to read this notice carefully and ensure your invited guests are also aware of the information relevant to them.
Publication of names and awards
The names and awards of all graduates (including those graduating in absentia) are published in the graduation programme and may also appear in the press.
Photography at graduation
Marketing and Communications staff will take photos throughout the day to record and celebrate the event. These may be used across UHI Orkney publicity materials and social media.
An official photographer, Orkney Photographic, will capture each student as they are presented with their scroll tube or special award. These photographs are owned by Orkney Photographic and will not be used by UHI Orkney for any media purposes. These images will be made available to purchase from Orkney Photographic and may also be displayed on the Orkney Photographic website. If you do not wish your photograph to appear publicly, please contact Orkney Photographic directly using the details on the Orkney Photographic website.
If you wish to opt out of UHIO publicity:
We respect that not everyone will want their personal data or image shared as part of graduation publicity. If you would prefer your information not to be included, you have the right to opt out. This will not affect your eligibility to graduate or to attend the ceremony.
If you do not want your personal data (including your name, award, or image) to be published in this way, you must let us know. Full instructions are provided in the Graduation Privacy Notice.
- Higher Education students: If you wish to update your choice after completing the Awards and Guidance form on UHI Records, you must also email orkneygraduation@uhi.ac.uk by the deadline stated in your invitation.
- Further Education, HNC/D, PDA, SVQ4 and CPD students: Please email orkneygraduation@uhi.ac.uk by the deadline stated in your invitation.
